We are seeking a full-time, experienced Office Manager to oversee the day-to-day administrative and financial operations within the firm and to serve as a key member to collaborate with and support the team. This is a full-time position located at our singular office in downtown Mason City, Iowa. The Office Manager is a first point of contact for those calling or visiting the firm, and is responsible for managing administrative operations, payroll, accounting, employee benefits, contract preparation, and general business and support functions.RESPONSIBILITIES
Financial Administration
Process and manage payroll accurately and timely
Oversee accounts payable and accounts receivable functionsPrepare invoices and monitor client payment schedules in collaboration with project managersReconcile accounts and maintain financial recordsCollaborate with external accountants and financial advisors as neededAssist with projections, expense tracking, tax filings, and financial reporting
Benefits Administration
Administer employee benefits programs, including healthcare, retirement plans, and related reportingCollaborate with management to coordinate employee onboardingMaintain employee records and assist with HR compliance requirementsServe as a resource for employee benefit and policy questions
Contract & Business Administration
Prepare, review, and manage client contracts and consultant agreements in collaboration with project managersAssist principals and project managers with administrative support related to projects and proposalsManage business licenses, insurance renewals, and required documentation
Office Operations
Ensure day-to-day office operations as well as participation in special projects as neededMaintain office systems, supplies, and vendor relationshipsCoordinate meetings and schedule various staff events and continuing educationSupport leadership with administrative and operational initiativesFoster a positive and professional office environment for staff and visitors
QUALIFICATIONS
Five or more years of experience in office management, business administration, accounting administration, or a related field.Experience managing payroll and employee business for 10+ employeesStrong knowledge of standard accounting processProficiency with Microsoft Office SuiteAbility to learn industry specific accounting and contract management softwareExperience managing or coordinating contracts and agreementsStrong organizational and customer service skillsExcellent written and verbal communication skillsAbility to manage multiple priorities within a collaborative professional environment
Experience working in a design, engineering, construction, or professional service firm preferred
